Trail Monkey Terms & Conditions

By entering a Trail Monkey event, you agree to the terms and conditions below. Please read them carefully before registering.

These terms are designed to keep our events safe, fair and manageable for everyone. If you do not agree with these terms, please do not enter the event.

Refunds, Deferrals and Transfers

Ultra and Marathon Distance Events

  • Up to 3 months before race day, entrants may request a 75% refund.
  • Up to 1 month before race day, entrants may defer or transfer to another Trail Monkey event within 12 months of the original event date.
  • Within 1 month of race day, no refunds, deferrals or place transfers are available.
  • If you have already deferred your entry, you are not eligible for a further deferral or refund.

All Other Distance Events

  • Up to 1 month before race day, entrants may request a 75% refund.
  • Up to 2 weeks before race day, entrants may defer or transfer to another Trail Monkey event within 12 months of the original event date.
  • Within 2 weeks of race day, no refunds, deferrals or place transfers are available.
  • If you have already deferred your entry, you are not eligible for a further deferral or refund.

Deferral and Transfer Conditions

Any deferral or transfer must be to another Trail Monkey event taking place within 12 months of the original event date.

  • Transfers are subject to availability and cannot be made into sold out events.
  • Entries can only be deferred or transferred once.
  • If the new event costs more than the original event, the runner must pay the difference.
  • If the new event costs less than the original event, no refund will be given for the difference.
  • All requests must be made in writing to Trail Monkey.

Please note: once you enter an event, Trail Monkey starts incurring costs, including administration fees, payment processing fees, race supplies, medals, numbers, insurance, permissions and event organisation costs. This is why full refunds are not available.

Cancellations, Postponements and Event Changes

Trail Monkey reserves the right to alter the event date, route, distance, start time, finish location, checkpoint locations, aid station locations or any other event detail where required for safety, access, permissions, weather, operational reasons or circumstances outside our control.

If an event has to be postponed, entries will normally be transferred to the rearranged date. Where possible, Trail Monkey will try to offer suitable alternatives, such as deferral to another Trail Monkey event.

If an event is cancelled, postponed or changed due to circumstances outside Trail Monkey’s control, including but not limited to severe weather, flooding, public health restrictions, travel restrictions, denied land access, government guidance, emergency services advice or other exceptional circumstances, refunds may not be available.

If an event has already started and severe or extreme conditions develop, Trail Monkey may amend, pause or abandon the event at any time. In these circumstances, refunds will not normally be provided.

Travel Disruption

Trail Monkey understands that some participants travel to Jersey for events and that flights, ferries or other travel arrangements may occasionally be delayed, changed or cancelled.

However, travel arrangements are the responsibility of the participant. Trail Monkey is not responsible for travel disruption, including but not limited to cancelled flights, delayed ferries, adverse weather affecting travel, airline or ferry operator changes, missed connections, accommodation issues or personal travel delays.

  • If your travel is disrupted and you cannot attend the event, this will be treated as a participant withdrawal.
  • Refunds, deferrals or transfers will only be available if your request falls within the standard refund and deferral timeframes listed above.
  • Within the final cut-off period for the event, no refund, deferral or transfer will normally be available due to travel disruption.
  • Participants travelling to Jersey are strongly advised to arrange suitable travel insurance.

Where possible, Trail Monkey will try to be reasonable and helpful, but we cannot absorb the cost of individual travel disruption once event costs have been committed.

Race Place Changes and Admin Requests

Changing race entries, reallocating race numbers and amending participant data requires administration time. Trail Monkey will handle reasonable requests on a best-efforts basis within the timeframes below.

  • Ultra and marathon events: changes must be requested at least 1 month before race day.
  • All other events: changes must be requested at least 2 weeks before race day.
  • Administrative changes requested after these deadlines may be refused or may incur a fee.
  • Simple corrections to entry details can usually be made free of charge before the relevant deadline.

Trail Monkey reserves the right to refuse or cancel entries, including duplicate entries or entries that do not meet event requirements.

Junior Participation Policy

Trail Monkey events take place on open roads, coastal paths, rural trails and exposed terrain. Conditions can change quickly and some events are physically demanding. For this reason, age restrictions apply.

Under 16s

  • Under 16s may only take part in short distance events where this has been explicitly agreed in advance with Trail Monkey. Any approval applies to that specific event only and does not constitute a blanket or ongoing permission for future events.
  • They must be accompanied by a parent or legal guardian for the full duration of the event.
  • The accompanying adult must also be a registered participant.
  • The parent or guardian is responsible for the young person at all times.
  • Under 16s are not permitted to take part in ultra-distance events.

Ages 16 to 17

  • Runners aged 16 to 17 may take part in selected events where the event distance, terrain and insurance requirements allow. Again this will need to approved explicilty with Trail Monkey in advance of the race.
  • Written parent or guardian consent is required.
  • Trail Monkey may request evidence of suitable experience for longer or more demanding events.
  • Ultra-distance events are strictly 18+ unless explicitly stated otherwise.

Important: Trail Monkey reserves the right to refuse entry, cancel an entry or remove a participant from an event if age, consent, insurance or safeguarding requirements are not met.

5. Participation Agreement

By entering a Trail Monkey event, you confirm that:

  • You are medically fit and sufficiently prepared to take part.
  • You understand that trail running involves inherent risks, including slips, trips, falls, weather exposure, uneven ground, roads, traffic, other participants and changing trail conditions.
  • You accept responsibility for your own safety and conduct during the event.
  • You will follow all instructions from marshals, event staff, police, landowners and emergency services.
  • You will comply with all mandatory kit requirements listed for the specific event.
  • You will not take part if you are unwell, injured or medically unfit to complete the distance.
  • You understand that official cut-off times may apply and that marshals, aid stations and road crossings may be stood down after those times.

Participants must provide accurate emergency contact and medical information when entering and must update Trail Monkey if this information changes before race day.

6. Roads, Trails and Course Conditions

Many Trail Monkey events use public roads, shared paths, coastal trails and open countryside. Roads may not be fully closed unless specifically stated.

  • Participants must take care when crossing or running on roads.
  • Participants must use pavements or footpaths where appropriate.
  • Participants must be considerate to other path users, walkers, cyclists, residents and landowners.
  • Participants must follow course markings and marshal instructions.

7. Dogs, Buggies and Wheelchair Participation

Unless specifically approved in advance by Trail Monkey:

  • Dogs are not permitted to run with participants.
  • Buggies or strollers are not permitted.
  • Some routes may not be suitable for wheelchair athletes due to terrain, steps, narrow paths, mud, rocks or steep gradients.

8. Photography, Video and Media

By entering a Trail Monkey event, you give permission for photographs, video footage, audio recordings and other media captured at the event to be used by Trail Monkey for event promotion, social media, websites, emails, advertising and related purposes.

Trail Monkey may share relevant participant information with official race photographers where required to deliver event photography. Personal data will not be sold or shared with unrelated third parties.

9. Data and Communication

Personal information provided during registration is used to administer the event, communicate important race information, manage safety requirements, process results and contact participants where necessary.

Participant information may be shared with medical providers, timing providers, race photographers or emergency services where required for event delivery or participant safety.

Trail Monkey may contact entrants by email with essential event information. Marketing communications will only be sent where permission has been given or where there is a legitimate event-related reason to contact participants.

10. External Links and Social Media

The Trail Monkey website may contain links to external websites, advertisers, sponsors, social media platforms or third-party services. Trail Monkey is not responsible for the content, privacy policies or practices of external websites.

Users should take care when interacting with Trail Monkey or others through social media platforms and should avoid sharing sensitive personal information publicly.

11. Final Agreement & Additional Conditions

By completing an entry form, either physically or electronically, you confirm that you have read, understood and agreed to these terms and conditions.

These terms apply to all Trail Monkey events unless a specific event page clearly states otherwise.

Trail Monkey reserves the right to make final decisions on any matter not explicitly covered within these terms and conditions.

This includes the right to refuse entry, cancel entries, amend participation conditions or take any action deemed necessary to protect participant safety, event integrity and the operation of the event.

All decisions made by Trail Monkey are final.
