Policy on Refunds
Regarding Ultra & Marathon Distance Events:
- Entrants of the current year’s race are entitled to a 75% refund up to 3 months prior to race day. Please note, if you have previously deferred, you are not eligible for a refund post-deferral.
- You can defer to another TM event within the same 12-month period, provided it’s done up to 1 month before race day. No deferral is allowed beyond this point.
- If it’s within a month of race day, no refunds, deferrals, or place transfers are available, unless you offer to marshal on the day of the race.
For all other distance Races:
- Up to 1 month before the race day, you can claim a 75% refund, provided you are a participant in this year’s race and haven’t deferred before.
- Up to 2 weeks before the race day, you can defer to another TM event within the same 12-month period. No further deferral is possible after this.
- Within 2 weeks of the race day, no refunds, deferrals, or place transfers are possible unless you volunteer to marshal on the day of the race.
Regarding Deferrals or Transferring to another event:
If you wish to defer or transfer your entry to a different Trail Monkey event, it must occur within 12 months of the original event date. For instance, if your original event was on August 6th, 2022, you could transfer to any other event occurring before August 6th, 2023. You must give notice at least one month prior to an Ultra & Marathon event, and at least two weeks before a half marathon, 5km, or 10km event.
Keep in mind that:
- This type of transfer isn’t available if the target event is sold out.
- You can only transfer or defer your entry once, and no refunds are possible afterwards.
- If the event you’re transferring to costs more than the original, you’ll need to cover the difference. If it costs less, there will be no refund for the difference.
As soon as you sign up for a race, we start incurring administrative and banking fees. Additional costs are incurred from processing cancellations and refunds, as well as the purchase of race paraphernalia, and event organisation.
In instances where participants request a deferral due to a scheduling conflict with another event, we will consider these requests individually. However, it’s important to note that if the conflicting event was rescheduled and now coincides with one of our trail running events, this situation is beyond our control. As such, we are not obligated to provide a deferral under these circumstances. Our commitment is to ensure fairness and transparency in handling these matters, always keeping the best interests of all our participants in mind.
Most races offer no refunds if a participant decides to cancel due to injury, illness, inadequate training, or change of plans. The same rule applies to higher-priced services like plane, train or theatre tickets. However, we aim to be as transparent and fair as possible, applying the above terms to all situations.
During the registration process, all runners are made aware of this refund policy and must agree to it to register. We aim for full transparency so that no participant feels cheated or let down if they need to cancel.
If you disagree with the refund policy, we kindly ask that you not enter the event.
We clearly outline our policy during registration and require agreement to ensure fairness and transparency. We cannot make individual judgments and strive to maintain a clear, universal policy for all situations.
COVID-19 & Race Postponement
The impact of COVID-19 on races is significant, and we always prioritize working with our entrants to provide the race experience they initially signed up for. Please bear in mind that race postponement is often due to circumstances beyond our control. As a small business with limited financial reserves, we can offer several options in the event of a race postponement. These options include deferral to the rescheduled event, participation in the following year’s event, or participation in another Trail Monkey event. If you prefer a refund, we can return 75% of the entry fee as per our standard refund policy. However, if you cannot participate and do not notify us at least four weeks before the race, you will not be eligible for a refund or deferral to another race.
So, what happens if the event changes or gets canceled?
Trail Monkey reserves the right to modify the course or aid station locations at any time. If severe or extreme weather conditions such as flooding occur after the event has started, we may abandon the event at any moment. While we do not offer refunds in such situations, we will always strive to provide a suitable alternative.
If the race can’t take place due to factors outside of the race management’s control, such as flooding, severe weather, or denied access to the original course (like a foot and mouth disease outbreak), we have the right to postpone the event. All entries will then be transferred to the new date. However, we might not offer refunds in these circumstances. If an event is canceled due to uncontrollable reasons like a pandemic, public health concerns, travel or movement restrictions, or any kind of bans, we won’t be able to provide a refund. If the event gets indefinitely postponed due to certain issues, we reserve the right to retain all entry fees to cover the incurred costs.
Transferring race places.
Reallocating race numbers and amending data on our system requires a lot of time and administration effort. To fulfill all admin change requests without hiking the cost of all entries, we handle each case on a best effort basis.
Changes to race places can only be made up to a month before an ultra race and two weeks before all other events. These changes must be made in writing to Trail Monkey Jersey. Any amendments made after these timeframes will incur an administrative charge of £20. If you’ve noticed an error in a field of your entry, we can amend this free of charge up until a month before the race day. After that, any administrative changes will cost £10.
Please note, we maintain the right to refuse or cancel applications, including duplicate applications, and we reserve the right to alter the event’s date, route, or distance.
Participation Agreement and Conditions
Participation in Trail Monkey Jersey events is open to individuals of all skill levels, provided they are at least 17 years old (unless specified otherwise). Regrettably, our routes may not be suitable for wheelchair athletes. Participants are prohibited from competing alongside dogs or strollers, barring prior approval. No race day entries will be accepted unless otherwise stated on the specific race or event webpage, or an agreement has been made with Paul. Please fill out the necessary medical information on the reverse side of your race number.
By entering this event, coordinated by Trail Monkey Jersey, I affirm that I am or will be at least 17 years old on the day of the event. If I’m under 18 during my application, my parent or guardian has approved and co-signed my application. I am aware that participation in these events carries inherent risks and I should only participate if I am in good health and well-prepared. I confirm that I will not participate if I am medically unfit to cover the required distance on the day of the race.
I fully assume responsibility for any injury or accident that may occur while I’m en route to or from the event, during the event, or while I’m at the event premises. I acknowledge all risks associated with participation in this event, including falls, contact with other participants, weather conditions, traffic, and road or trail conditions. I hereby relinquish and absolve the event organizers, sponsors, promoters, their agents, successors, assigns, and all other associated parties of any liabilities, claims, or damages that may arise from my participation in this event.
I consent to my personal data being shared with race photographers, but it won’t be shared with other third parties, except in medical emergencies. I give full permission to use any photos, videos, website images, recordings, or any other record of this event. If the event is cancelled due to unusual weather conditions, legal requirements, public safety advisories, or any other uncontrollable or exceptional circumstances, I understand that my entry fee will not be refunded.
I acknowledge that the race may take place on public roads with only partial road closures. I will follow the instructions of police officers, marshals, and event staff, and exercise caution when on the road, using footpaths where appropriate.
I anticipate completing the event within a reasonable time frame, acknowledging that there are official cut-off times, and that road closures will be lifted and marshals will leave their posts at times reflecting a maximum finishing time (refer to the specific event website or page). I understand that the course may be hilly, and is not suitable for wheelchair athletes. No dogs or strollers are permitted. By completing and signing an entry form, physically or electronically, I affirm that I have read and agreed to these terms and conditions.
